Clients should never wonder what is happening with their accounts. Here is exactly how a placement moves through Ivy Recovery Group — and what you can see along the way.

The Four Stages

A transparent recovery process

  1. Placement

    You transmit account files through our encrypted intake channel — secure file transfer, portal upload [PLACEHOLDER: portal name], or API. We confirm receipt, check for required data fields (debtor identity, balance, itemization date, creditor name, last payment), and flag anything incomplete before work begins.

  2. Compliance Review & Validation

    Every account is scrubbed against bankruptcy, deceased, military-status, litigious-consumer, and prior cease-and-desist databases, then checked for state-specific licensing and statute-of-limitations rules. Only then do we issue the written validation notice required by Regulation F.

  3. Outreach & Resolution

    After the validation period, trained representatives contact consumers by letter, phone, and — with proper consent and opt-out — email or text, within legal frequency and time-of-day limits. Disputes pause collection until verified. Resolution options are explained plainly, without pressure.

  4. Remittance & Reporting

    Recovered funds are held in a dedicated trust account and remitted on your schedule — typically monthly [PLACEHOLDER: confirm remittance cycle] — with an itemized statement. Performance reports show liquidation, activity, disputes, and complaints by portfolio.

Client Onboarding

Getting started takes days, not months

Onboarding is designed to satisfy your vendor-management requirements while getting accounts into work quickly.

  • Discovery and program design.We review your receivables profile, account documentation, and any brand or communication preferences, then recommend a program and fee structure by email.
  • Agreement and due diligence.A written services agreement covers scope, fees, remittance, data security, and compliance obligations. We complete your vendor questionnaire and, for healthcare clients, execute a business associate agreement.
  • Data mapping and secure transfer.We agree on a placement file layout, test a sample file, and establish the encrypted transfer method your team will use.
  • Communication approval.You review and approve letter templates and any client-specific scripting before the first account is worked.
  • First placement and check-in.After the initial file is placed, we schedule a review by email at 30 days to confirm reporting meets your needs.

Performance Reporting

Portfolio-level liquidation rates, dollars placed and recovered, aging analysis, and trend comparisons, delivered on your remittance cycle.

Account-Level Activity

Every letter, call attempt, conversation note, dispute, and payment is time-stamped and available on request, so you can answer any consumer or regulator inquiry.

Complaint & Dispute Logs

Consumer complaints and disputes are logged with root cause, resolution, and timing, and summarized in your reporting package.

Trust Accounting

Consumer payments are deposited to a segregated trust account and reconciled before remittance. Statements itemize gross collections, fees, and net remittance.

Audit Rights
